Meeting follow-up email from your notes – as a draft you send yourself

By Marco Tissen — developer of Voxdrop · Last updated: October 2026 · 5 min read

Key takeaways

  • In Voxdrop 2.3, Send by email turns a meeting's short version, detailed summary and to-dos into a draft in your own mail app.
  • You choose what goes in and who gets it. Voxdrop never sends an email itself and stores no addresses.
  • Why a draft: whatever goes out under your name should pass your eyes first – AI summaries can be wrong, and not everything said in a call is for everyone on the invite.

The follow-up email is the most useful thing that happens after a meeting, and the one most often skipped. Written from memory it takes ten minutes; with Voxdrop the summary and the to-dos are already there when you hang up. Version 2.3 adds the last step: one click turns them into an email draft. That's one click more than a fully automatic recap – on purpose.

How do I send meeting notes by email with Voxdrop?

  1. Open the meeting and click Send by email.
  2. Tick what goes in: Short version, Detailed summary, To-dos – optionally Only open to-dos. Voxdrop only offers what exists for that meeting.
  3. Click Open draft. Your default mail app opens a new message with the subject “Title – date” and the text.
  4. Add the recipients, read it once, send it.

Copy text puts the same text on the clipboard instead – for webmail, Slack or Teams.

What does the email look like?

Plain text in the meeting's language (German, English or French): no HTML, no tracking pixel, no link to a cloud workspace. A made-up example:

Subject: Sprint planning API v2 – October 20, 2026 at 2:05 PM

Short summary
• Rate limit for the public API moves to 100 requests per minute.
• Rollout to the first customers starts next week.

To-dos
☐ Update the OpenAPI spec — Marco (due Friday)
☐ Write the postmortem — Jonas

Tip: give the speakers names in the meeting first. The email then says “Marco” and “Jonas” instead of “Me” and “Others”. How the to-dos are found is explained in the post on meeting to-dos.

Why doesn't Voxdrop send the follow-up automatically?

  • It goes out under your name. An AI summary can get a number or a decision wrong. Reading it takes thirty seconds; correcting a wrong email sent to a customer takes longer.
  • Not everything is for everyone. Calls contain asides, prices and internal remarks. An automatic recap to every attendee sends them along.
  • You know the recipients. Voxdrop has no access to your calendar or contacts, by design. You know who should get the email – maybe only half the people in the call.
  • No server in between. Sending would need a mail server or your mail login. A draft in your own mail app needs neither, and the email ends up in your sent folder like any other.

How others handle it: Fireflies sends its recap email by default to everyone on the calendar invite, external guests included, according to its help center. Fathom and tl;dv have settings that send summaries to all invitees automatically. Granola, like Voxdrop, writes a draft that you send yourself.

Which mail apps does it work with?

Voxdrop opens a standard mailto: link, so the draft appears in whatever is set as your default email app – Apple Mail, Outlook, or a browser-based client if you made it the default. Some mail apps cut off very long links, so above 6,000 characters Voxdrop puts the text on the clipboard and the draft simply says to paste it in.

Honest caveats

  • One more click than tools that send recaps on their own.
  • You type the addresses. No calendar means no automatic attendee list.
  • Plain text only. No formatting, no attachments.
  • Read before you send. That's the point, but it's also on you.

(Disclosure: Voxdrop is our app.) Summaries and to-dos come from Apple's on-device model or a local model in Ollama or LM Studio – the meeting isn't uploaded to write the email.

FAQ

Can Voxdrop email meeting notes to the participants?

It prepares the email: "Send by email" opens a draft with the short version, summary and to-dos in your own mail app. You add the recipients and send it yourself.

Does Voxdrop ever send emails automatically?

No. Voxdrop has no mail server and never sends anything on its own. Every follow-up email goes out from your mail app, after you have read it.

Which email apps does it work with?

With whatever is set as your default email app on the Mac, for example Apple Mail or Outlook. "Copy text" puts the same text on the clipboard for webmail or chat.

Does Voxdrop store email addresses or read my calendar?

No. Voxdrop has no access to your calendar or contacts and stores no addresses. You type the recipients in the draft.

What if the summary is too long for an email link?

Above 6,000 characters Voxdrop puts the text on the clipboard and the draft says to paste it in. Mail links get cut off by some mail apps, so this avoids losing text.
